Packaging reporting
The ongoing reporting must be eco-modulated because companies are required to pay less for packaging that can be reused or recycled. This means that packaging in the red rate will be subject to a 35% surcharge.
The eco-modulation must ensure cost neutrality for each individual material category, so that the companies in a material category do not pay more or less than the actual costs of waste treatment.

Reporting
Companies must report actual quantities made available to VANA on an ongoing basis.
There are two types of reporting: monthly (for companies with volumes above 8 tonnes per year) and quarterly (for companies with volumes below 8 tonnes per year).
Monthly reporting – companies with quantities over 8 tonnes
Companies must report the actual quantities made available on the market during the previous month on a monthly basis.
Reporting must be broken down by the following material categories:
- Cardboard – two rates (red/green)
- Paper – two rates (red/green)
- Ferrous metals – two rates (red/green)
- Aluminium – two rates (red/green)
- Glass – two rates (red/green)
- Flexible plastic – three rates (red/yellow/green)
- Rigid plastic – three rates (red/yellow/green)
- Rigid PET – three rates (red/yellow/green)
- Foam plastic – three rates (red/yellow/green)
- Food and beverage cartons – three rates (red/yellow/green)
- Wood – not eco-modulated
- Textile – no payment
- Porcelain – no payment
- Cork – no payment
- Ceramics – no payment
- Other – no payment

The Member Portal opens for reporting in the categories you have registered.
To determine whether you should report in red, yellow, or green, you must use the design requirements in Annex 14 of the regulation and the Danish Environmental Protection Agency's guidance. Find them here.
For Companies with Quantities Below 8 Tonnes (Administrative Triviality Limit)
Companies that make less than 8 tonnes of single-use packaging available in a calendar year can choose to report only the total weight of the single-use packaging made available, divided into household and commercial packaging.
The reporting must be done quarterly.

Data collection based on design requirements
There are no official requirements for your data collection process or how you structure your data. However, it is your responsibility to ensure that you have all the necessary packaging data to report correctly to the authorities and allocate your packaging quantities to either the red, yellow, or green category.
You can structure your data and collection process to meet the reporting requirements in a way that makes the most sense for your specific company. The design requirements of the eco-modulated fees determine the level of detail needed for the data to be collected.

Therefore, in the initial phase, you should also consider your possible needs for both data management and reporting.

The advantage of choosing external data platforms and digital software systems that specialise in producer responsibility reporting, is that they can help you set up exactly the data points you need and to structure your data collection process, e.g. across the countries in which you operate.
Several providers also offer producer responsibility reporting that can be generated directly in their systems. These are adapted to your specific needs for the respective countries in which you make packaging available.

If you choose to set up your own systems, you must be aware of getting all the data points listed in the table. VANA's member portal can integrate with all solutions. Thus you could transfer your data directly from your own system or from our partners' systems.
Reporting options at VANA
VANA's data reporting system has been developed based on that it should be as easy as possible for you to report your packaging data. Therefore, our system can integrate with all system types, so you have the opportunity to choose the solution that suits your company's business system and set-up best.
In 2025, you can choose to report data to VANA's system in several ways:
- directly into VANA's member portal by filling in fields
- transfer data, e.g. from an Excel file via an API integration between the systems.
Transferring data through the last solution requires packaging data to be transferred in the data format that VANA's interface supports. This means, regardless of whether you use an external partner for data reporting or your own systems, that you must be able to transfer in the correct format.
